<p>Now you may be thinking “why do i need top tips for running a summer event, aren&#8217;t all events the same regardless of the weather and time of year”? There are many challenges and things to consider when planning an event in the summer as opposed to the winter. </p>



<p>You want to achieve&#8230;   <br>• Maximum enjoyment  <br>• Guests comfort  <br>• An engaging atmosphere  <br>• Your reputation to achieve the above, here are some helpful tips and considerations to think about to achieve your summer event success.</p>



<p><strong>Good venue selection&nbsp;</strong>&nbsp;</p>



<p>If you can, opt for a fun, colourful and vibrant venue, that will complement the time of year and your theme, perhaps a secret garden, a venue with a private beach, a park or a venue with hectares of land, a restaurant with a nice terrace, or a unique hotel that will give you and your guests that special summer feeling. </p>



<p>Preferably the venue should have outdoor space, so your guests can enjoy the glorious summer weather, and indoor space also, for some shade and the great British wet weather contingency plan. Make sure you have plenty of seating indoors and out, and the venue is accessible for all guests. Having a contingency plan for the weather as we know best the “Summer” weather can be very unpredictable, so make sure you have a backup plan in case of rain and extreme heat.  </p>



<p>Put out ponchos and umbrellas for the potential rain, and ensure you have enough shaded areas for the extreme heat in case of a heatwave. If your event is solely outdoors, maybe consider hiring a gazebo or tipis for that shade and shelter for the rain and sun. You want your event to run smoothly come rain or shine, so ensure you are prepared for every eventuality. </p>



<p><strong>Engaging activities and diverse entertainment </strong>&nbsp;</p>



<p>Make use of the outdoor space you have, lawn games, live music, fairground stalls, make use of the venues outdoor activities if they have any, it&#8217;s always worth asking as some venues have their own games they can put out. How about a live caricature artist for your guests, a magician or even circus acts. If your venue is near water, maybe consider some water activities, kayaking, canoeing or paddleboarding with a professional team to support with the delivery of this. </p>



<p><strong>Food and plenty of fluids!</strong> </p>



<p>Staying hydrated and having plenty of water stations is a must, you want your guests to be refreshed and raring to go.  </p>



<p>Set up some stations with iced water, fans, misting water. Choose a menu containing light and fresh dishes, such as salads, grilled foods, fresh fruit, sorbets and ice creams. Keep the food flowing; it is important to eat plenty and stay hydrated so as not to feel sluggish or unwell in extreme heat.  </p>

<p><strong>Adequate staffing </strong>&nbsp;</p>



<p>Summer events need more staffing than normal, this is to ensure that each member gets regular breaks, to sit, eat and drink in the shade. It also enables more hands to carry out the tasks; to complete them quicker so they are not working or standing in the hot weather for too long. It is important just as with your guests to provide your team and staff with shelter, food and fluids.&nbsp;</p>



<p><strong>A comfortable environment </strong>&nbsp;</p>



<p>Make sure all your guests have everything to hand, food is best served to them, so maybe opt for canapes, or a bowl of food. Bring the drinks to the guests, if this is not possible, as mentioned above set up some “Hydration Stations” around the venue. Ensuring that amenities are within easy reach and not too far away to walk or access is helpful. Plenty of chairs is very important, in the heat nobody will want to stand for too long, they want to rest or have a place they know they can sit down if they wish to. Safety, as with any event, is of paramount importance. &nbsp;</p>



<p>Especially important for summer events, think about sun protection, first aid points, if you have a large event with hundreds of people, hiring independent first aiders such as St Johns Ambulance is well worth the investment. Alcohol and heat react quite quickly, so if your event involves alcohol, make sure guests get home safely, perhaps arrange transport so the guests are not driving themselves, its well-known we get dehydrated very quickly in the heat, so by having just one alcoholic drink this could have a serious effect on somebody. </p>

<p><em>Back in 2022 we planned and executed a Go Green business convention. </em><em>We took this event from the planning stages right through to the event delivery on live day. </em>&nbsp;</p>



<p><em>Planning and putting together strategies with the client. At this event, we were asked if we could help pull together the financial side of things and help recruit all suppliers, along with merchandise and outside catering. The client was new to this, and it was their first large event. </em>&nbsp;</p>



<p><em>We guided them to make the right business decisions that would have a positive impact on the event, from providing CAD plans to adhere with, planning the layout of the event along with&nbsp;including health and safety aspects, risk assessments and contractor insurances, right down to helping them select the right food and beverages for such an event. </em>&nbsp;<br><em></em>&nbsp;<br><em>On the day, there were some last minute changes, and decisions that we had to make for the health and safety of attendees and to ensure the smooth running of the event, these decisions were acted upon rapidly from our on the day event manager, without anyone noticing, real time problem solving is something that comes second nature to us when running events.&nbsp;</em>&nbsp;</p>



<p><em>In 2023 and 2024 we have helped support another client to project manage an awards ceremony, being involved from selecting the right venue right through to selecting suppliers, budgeting and on the day event management, the planning of this event has required a lot of attention not only in the pre-planning but during the live event. As with most event planning, not every event aspect is clear cut and easy, sometimes you need to respond to issues and its always important to act fast and resolve them! </em>&nbsp;</p>



<p>This event is particularly unique, currently being hosted at a heritage site. There have been numerous occasions where rapid decisions were necessary to ensure all attendees had a comfortable experience (the British weather isn&#8217;t always sunny, even in July, as we all know!).&nbsp;</p>



<p>Ensuring the event venue, client, and external suppliers are all on board with the plans and comfortable with the decisions that need to be made is crucial. Constant communication is key in any event planning and management. As with all the events we work on, hard work and extensive pre-planning are essential for success. With the right steps in place, including an appropriate budget, venue, expertise, and knowledge, any event is possible.&nbsp;</p>

<p>This year has changed the way we do things completely. One thing is for certain though, in our opinion, our live in-person meetings and events will always be the preferred method of communicating to the masses. Whether it be a concert, entertainment, educational or showcasing, live events communicate to each and every individual, tapping into those special moments that only a live physical event can achieve.</p>



<p>As we continue to transition into the ‘new normal’, the interest for booking venues and events is showing signs of increasing. But, how is it possible to find your perfect venue while there are restrictions in place and how about the ongoing changes in regulations? In this article, we will show you what you can do to start planning your events either virtually, in-person or hybrid event.</p>



<p><strong>How I can find the perfect venue with restrictions in place still?</strong></p>



<p>Since times have changed, so has the way we source your perfect venues. Many venues have taken to showcasing their venues online. Virtual tours have become a new way of showing the options and providing ideas for clients. It’s quite effective and convenient as you can go to the venue without leaving your working space.</p>



<p>Of course, other venues start to provide limited visits meaning people can individually visit venues to see what they look like. Just like with real estate, venues have had to come up with creative solutions that are in line with the restrictions and guidelines from the government.</p>



<p><strong>How many people can attend events?</strong></p>



<p>This is one question most have in their mind. The new norm limits the attendance to provide enhanced safety for the attendees as well as the staff hosting the event. How many people can attend your event depends on the size of the venue as the social distancing rules are implemented.&nbsp; However, with the right tech you can add a virtual attendance option that enables more people to attend and enjoy the event but in the virtual capacity.</p>



<p><strong>What about safety?</strong></p>



<p>In the beginning, people will be cautious, as this global pandemic has proven, it is going to take time to gain confidence again, but as we are social creatures we will need that face to face interaction.&nbsp; The most frequently asked questions have been how can safety be enhanced to make attendees feel safe.</p>



<p><strong>Here are a few ideas:</strong></p>



<p><em>Temperature measurement:</em></p>



<p>Attendees body temperature is measured either with a hand-held device or by a camera that alerts if someone has an abnormally high temperature.</p>



<p><em>Requiring a negative test result:</em></p>



<p>Some organisers have been pondering about whether they should require a certificate that states the person has been tested for COVID-19. As some people can carry it without symptoms it is one option to consider. However, would the attendees be happy to take a test is a whole different thing.</p>



<p><em>Limited attendance:</em></p>



<p>How many people can attend is up to the size of the venue and how they can implement health and safety regulations.&nbsp; It is an option to consider having virtual attendance to enable the ones who couldn’t get to the venue physically to attend the event. Also making sure that necessary hand sanitisers and facemasks are set up and potentially sent out prior to the event.</p>



<p><em>How do I market my event?</em></p>



<p>Depending on the purpose of the event it’s good to plan ahead and ensure the attendees will feel safe. A team-building event or Christmas party for staff will most likely be completely different from a networking event or a conference. It is worth considering how you will host these events, will alcohol be served, maybe send out a survey to your contacts and colleagues, what would they feel comfortable doing? Communication is definitely king here. Along with having everything clear about your plans, safety measures that are in place will provide peace of mind to your audience.</p>



<p>This year many events have been taken online to enable people to be connected and socialise. There are some brilliant ways in bringing your audiences together, team activities and specific goody bags that will reach your delegates so they still have a sense of belonging to the event. <p>Events are a brilliant way to build awareness and interest in your business. It’s a chance for prospective customers to get to know you more without committing to becoming a client.<br><br>Since the COVID-19 outbreak physical events have been a non-starter. Many in the professional services sectors have avoided holding online events because they feel overwhelmed at all the things you need to do to get the event together. The perks of free food and drink and networking aren’t as strong a pull when you are asking people to signup and sit in front of their computers. So what are the critical questions you should be asking in order to ensure your online event is successful?</p>



<p><strong>What is the goal?</strong></p>



<p>Why do you want to host the event in the first place? You may find this obvious, but many people lose sight of the goal of their online event. This then creates mixed messages and no way to really define what success looks like. It’s important you keep your goals clear. Do you want to get new business, create awareness, or build loyalty? Having a clear goal will help you keep focused on what is important and plan your event to achieve its aim.</p>



<p><strong>Why should people attend?</strong></p>



<p>We’ve all got busy lives, so we are very picky about what we choose to attend. There must be a compelling reason for people to register and of course show up. What is the big reason to attend? What is in it for your attendees? Having a truly clear benefit of attending will help people quickly decide if the event is for them. People are also more likely to show up for the event if you can clearly and concisely give people a clear reason to attend.<br><strong><br>Who is driving the event forward?</strong></p>



<p>It is great to share the workload in putting an event together but who is responsible for driving the event forward? You know the saying “too many cooks”, well this can be just as true for an event. All too often tasks are shared but nobody takes responsibility for the delivery of the event. Who will take responsibility for when registration numbers are hit? Who will keep updating attendees? Who is ensuring all the tech is tested? All very simple things, yet, many events suffer ‘bumps’ in the road as a result of the shared workload with unclear responsibility.</p>

<p>Every event should lead to something else. Now that you’ve created and run your event, what comes next? What is your plan to follow up? Having worked in the event management industry for most of my working life, I’ve met a lot of clients who have run events and not thought through how they plan to use events as a launchpad. They build up lists of attendees with no plan for future events or follow up.</p>



<p>Online events can be very low cost to operate but time-consuming to plan and market, it is important to put focus and energy behind your events if you want them to be successful.</p>
